Getting started as a school owner
Getting started as a school owner
Popinz is a light school-information system for small and mid-size private schools — music, conservatoire, dance, drama, art and sports associations — where teachers are paid by the hour and school life (attendance, grades, reports, class councils) actually matters. This guide walks an owner through the first hour, following the real screens.
See it live, no signup: open the interactive demo — it logs you straight into a fully seeded school.
1. The dashboard: your school at a glance
When you sign in you land on the dashboard. It answers an owner’s first questions without a click:
- Absences & lateness today — who is missing right now.
- Evaluations this week — what is being graded.
- Class councils — upcoming review meetings.
- Recent communications — the emails and messages that went out.
- Real-time activity — a live feed of what staff and teachers are doing.
Each widget links straight to its full screen, so the dashboard doubles as your navigation.
2. People: students, parents, teachers, staff
Open People to browse everyone in the school. Search by name (start typing — the list filters live), and open a profile to see contact details, groups, attendance and documents.
To add someone, use Add a person: first name, last name, role. Roles drive what each person can see — student, parent/guardian, teacher/admin staff, or owner.
3. Groups and promotions
Groups is where classes, promotions and cohorts live. Browse and search the list, then open a group to see its members and schedule. Use Create a group to set one up — name it, then attach people and courses.
4. The timetable and teaching hours
Planning is the wedge most schools switch for. Move between day, week and month views. Every course sits on the calendar with its room, teacher and group.
Because each session is timed and attributed to a teacher, Popinz computes teaching hours automatically — the report that usually takes a coordinator days of spreadsheets. This is the single feature small creative and vocational schools tell us they came for.
5. Grades, pedagogy and reports
Pedagogy holds evaluations, methods and pedagogical items. Add an evaluation, and it flows into the student’s record and the class council.
Pedagogy reports turn all of that into the bulletins and review documents a real school issues each term — not a generic gradebook, but the school-life layer bigger tools skip.
6. Documents
Documents is the shared, permission-aware file space. An owner sees the whole tree; students and parents only see what is shared with them.
7. Search anything: Ctrl + K
Press Ctrl + K anywhere to jump to a person, group or page. It is the fastest way to move once your school is loaded.
8. Attendance history and settings
Calls & attendance keeps the full history of who was present, session by session — the ground truth behind the hours and the absence widgets.
Settings is where you name the establishment, set the term calendar and manage roles.
